HOAs, Condos and Co-Ops – New Online Payment Options with Vantaca

Over the last few weeks you received notification of the launching of your community’s new online Owner Portal, serviced by Vantaca and powered by HOAi. 

On July 1, 2026, you will receive an email including user-friendly instructions for setting up your July payment, no action is required right now.  If you have not provided an email address to us, you will receive a letter via regular mail.

In that email you will receive the following information to register on our new portal:

Your new account number is:  «Account Number»

Your registration key: «Portal Key»

DO NOT MAKE YOUR JULY PAYMENT PRIOR TO JULY 1ST

When setting up your account in Vantaca, please note that if you choose the Auto-Draft payment option (ACH), it must be established no later than July 8th to be included in the July withdrawal.

Any Auto-Draft enrollment completed in Vantaca after July 8th will not take effect until the 3rd of the following month.

WHETHER YOU USE ACH OR BILL PAY, ALL PREVIOUS INFORMATION FOR YOUR PAYMENT SHOULD BE DELETED AND REPLACED WITH THE NEW MAILING ADDRESS AND NEW ACCOUNT NUMBER.

  • Your account balance on the new Vantaca portal will only reflect your July Monthly Maintenance Fees.  It will not reflect any past due balances or any pre-payments or credits which occurred before July 1st, as we are transitioning your account information to our new software.  For July, please pay your typical assessment amount.  The correct credit or balance due will be populated in August after you have registered on our new portal.
  • If you would like to pay by check, after July 1st, please make the check payable to YOUR COMMUNITY’S NAME and include your new account number on your check.

Frequently Asked Questions (FAQ) – Transition to Our New Vantaca Portal

Why are we changing systems?

We’re excited to be moving to Vantaca, a much more user-friendly and efficient system that will make managing your account easier than ever.

If you can order on Amazon, you can use the Vantaca Portal — it’s that easy!

What happens if I already paid my June common charges?

If you have already paid your June common charges, your payment is being processed as usual.

Can I still pay my June common charges?

Yes. June common charge payments can still be made through June 23rd to allow sufficient processing time before July 1st.

I mailed a June payment to the old address. Will it be processed?

Yes. Checks mailed to the old address for June common charges will continue to be processed up until June 24th, anything received after that will be returned to the sender.

What happens if I mail a check to the old address after June?

Any checks mailed to the old payment address after June will be returned to you by regular mail from the lockbox processing center.

I have recurring payments set up. What should I do?

If you have recurring payments established through:

  • Your bank – contact your bank directly.
  • Online Bill Pay – you can do that yourself by deleting the previous Payee and adding a new Payee’s information.  Do not “update” the previous one, you must create a new one.
  • KLIKnPAY – please contact the CAMCO team for assistance.

You must cancel those recurring payments immediately.

What if I don’t know how to cancel my recurring payments?

No problem. Please contact our office and we will be happy to assist you.

Because we anticipate a high volume of calls during this transition, if you are unable to reach us by phone, please send an email to info@camcoservicesny.com that includes:

  • Your unit address
  • A cell phone number where you can be reached

July Payment Questions

Should I pay my July common charges before July 1st?

No.

Please do not make your July common charge payment until after July 1st.

Will late fees be charged during the transition?

No.

All late fees for the month of July will be waived while accounts are being transitioned to the new system.

I currently pay through ACH. What should I do?

If you pay through ACH, you must delete the existing payment instructions with your bank.

Do not simply change the mailing address. The previous instructions must be removed and replaced with new payment information after you access the Vantaca Portal.

How do I access the new Vantaca Portal?

Beginning July 1st, log in using the link that will be emailed to you.

The email will come from:

If you do not use Email a hard letter will be mailed to you via USPS

What will I see when I first log in?

When you first access your new portal:

  • Your account will initially show only the July charges due.
  • The system will begin reconciling your account and payment history.
  • Any credit balances and/or outstanding balances will be updated during the reconciliation process.

When will my account balance be fully updated?

We expect all account reconciliation to be completed by August, at which time your correct credit balance and/or balance due will be reflected in the portal.

 

Can I set up online payments in the new system?

Yes.

Once you log in to your personal Vantaca Portal, you will be able to set up online payments directly through the system.

Where do I mail future common charge payments?

(DO NOT MAIL YOUR PAYMENTS TO THE OLD N.Y. ADDRESS)

Do I need to include my community’s name when mailing a check?

No. You do not need to include your community’s name in the mailing address.

Instead, please write your new account number in the memo field of your check.

Your new account number will be available once you log in to the Vantaca Portal.

Who can I contact if I have questions?

When you login to Vantaca for the first time, the site will teach you how to use it by animated prompts showing you how to navigate it.
